Data export from your current system
Week 1We guide you through exporting your children, families, and enrolment data. If your export is messy or incomplete, we work with what you have.
CrecheHQ setup and import
Week 1–2We configure your account, import your data, and set up ECCE and NCS enrolments so nothing is lost.
Staff training and parallel run
Week 2–3Your team learns CrecheHQ while your old system stays active. Both systems run side by side until you are confident.
Go live
Week 3–4When you are ready, we cut over. Parents get portal access, attendance goes live, and we stay on hand for the first week.
What if something goes wrong?
We have planned for the things that make switching stressful.
What if our exported data is messy?
We work with what you have. If your export is incomplete or in an unusual format, we clean and map the data during import. You review and approve before anything goes live.
How does the parallel run work?
Both your old system and CrecheHQ run simultaneously. Your team gets comfortable with CrecheHQ while the old system stays active as a safety net. You decide when to switch.
What do parents see during the changeover?
Parents get a clear communication about the move and an invitation to the CrecheHQ parent portal. We provide a message template you can personalise. There is no gap in access.
What happens to invoices already issued?
Previously issued invoices stay with your old system. CrecheHQ starts fresh from the switchover date. We can import invoice history for reference if needed.
Who owns each step of the migration?
You own the decision to switch and the communication to parents. We own the data import, system configuration, staff training, and go-live support. Nothing happens without your approval.
